Accountant–Payroll

Department: Accounting
Reports To: Controller
Summary: Compiles and maintains personnel records; prepares weekly payroll; administers fuel cards; administers benefits; and compiles payroll data to process payments to Vendors by performing the following duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Payroll
·Processes Driver Representative payroll and Independent Contractor settlements.
·Checks in paperwork to release Trip Orders (T.O.) for pay.
·Calculates advances and services charges to be deducted; prints preliminary settlement sheets.
·Codes for stop pay and per diem; verifies rates and withheld T.O's; enters stop pay, advance and service charges, per diem, and reimbursements; prints working settlement sheets.
·Reviews wages computed and corrects errors to ensure accuracy of payroll.
·Records changes affecting net wages such as exemptions, insurance coverage, and loan payments for each employee to update master payroll records.
·Enters pay and deductions into ADP computer files; and transmits payroll to ADP.
·Prints final settlement sheets.
·Attaches support documentation to paychecks and distributes paychecks to Driver Representatives.
·Confirms that payroll records were backed up properly and rolls over data for next payroll.
·Maintains general payroll information in ADP system (i.e. names, addresses, direct deposit, etc.) Updates Driver Representatives' miles-for-pay increase reviews.

Fuel Cards
·Prints EFS fuel and advance reports for log auditing.
·Monitors EFS billing and card maintenance.
·Authorizes out-of-system fuel purchases.
·Maintains phone cards.

Benefits
·Reconciles premiums paid to withholdings: insurance and CA
·Reconciles 401(k) withholdings, transmittals, and loans
·Processes annual enrollments, new employee enrollments, and changes in status in a timely way.

Accounts Payable
·Enters invoices in Platinum.
·Prints check selection report.
·Selects invoices to be paid; prints checks; attaches supporting documentation and forwards for appropriate signature(s).
·Receives signed checks from authorized signer(s) and mails checks to vendors.
·Enters the following information into Platinum system for ACH transfer: Codes and enters fuel invoices; enters intercompany invoices, payroll distribution, and garnishments withheld

Cash
·Receives and stamps checks 'for deposit only' and prepares deposits.
·Takes deposits to the bank.
·
General
·Provides monthly counseling with each staff member
·Participates in weekly department meetings.
·Assists Accounting Team Members, as necessary.
·Supports the overall Company goal of continuous improvement. In his/her analysis of financial activity, actively seeks areas in which improvement is needed.
·Performs other duties as assigned.

EDUCATION and/or EXPERIENCE A high school diploma is required. Previous experience in payroll or other accounting is desirable.

LANGUAGE SKILLS Good language skills are required.
MATHEMATICAL SKILLS Excellent math skills are necessary.

REASONING ABILITY Above average reasoning ability is needed to ensure that payroll records balance and that time sheets documentation is reasonable.
